Dog Placement Project Coordinator

Time Commitment: Up to 5-10 hours per week. Must have the ability to communicate throughout weekdays, mostly through slack but some group calls.

Role Overview

The Dog Placement Project Coordinator is a newly created role designed to bring alignment and cohesion to the entire Dog Placement journey from intake, foster, adoption to alumni process. Acting as a central connector among area-specific managers and the Executive Director, this role ensures consistency with best practices and organizational values. Key responsibilities include developing comprehensive Guidebooks, improving workflows, creating policy, resolving systemic issues, and providing ad-hoc support when needed.

The first part of this onboarding will work closely with the Executive Director, shadowing weekly tasks related to Dog Placement Program oversight – discussing strengths, gaps and opportunities. From there, helping determine best practices through small group discussions, policy creation and ideally leading the development of program guidebook(s). While this role is mostly remote, ideally this individual will also desire popping into on-site activities as a learning opportunity and view things from a Project Manager perspective. Once key workflows have been created, working with and supporting managers while looking for ways to develop ongoing activities is desired.

Key Responsibilities:

Develop Program Guidebook: Create and maintain a comprehensive Guidebook outlining workflows, policies, and best practices to support consistency and clarity across all placement stages.

Collaborate Across Departments: Serve as a support for Intake, Foster, Adoption, Alumni teams as well as additional areas with the intention to ensure seamless communication, understandings and alignment across the Dog Placement journey.

Identify and Resolve Systemic Gaps: Observe, assess, and troubleshoot challenges in current workflows, collaborating with relevant teams to implement sustainable improvements.

Support Strategic Initiatives: Partner with the Executive Director and program committees (in development) to support strategic goals, enhance program design, and align with the organization's mission and values.

Provide Hands-On Operational Support: Offer ad-hoc support during high-demand periods or urgent situations, including on-site presence when needed to better understand team needs and operations.

Team Development: Support and empower area-specific managers by sharing resources, offering guidance, and encouraging cross-functional collaboration to strengthen the overall program.

Lead Through a Project Management Lens: Approach initiatives with structured planning, clear milestones, and follow-through to ensure timely and effective execution of new processes.

Volunteer Coordinator 

We’re looking for an organized volunteer coordinator to support the volunteer team. This remote position is essential to ensure our volunteer program runs smoothly and our volunteers feel valued and engaged.

Time Commitment: 5-7 hours per week.

Key Responsibilities:

  • Onboard new volunteers by guiding them through the application and orientation process
  • Offboard volunteers respectfully and efficiently when their service concludes
  • Maintain and update volunteer records and databases regularly to ensure accuracy
  • Coordinate and send monthly volunteer hours requests to track contributions
  • Distribute birthday shout outs and other volunteer appreciation communications
  • Forward volunteer applications and inquiries to the appropriate department managers for follow-up
  • Serve as the primary point of contact for volunteer questions and support
  • Liaise with the fundraising team to coordinate volunteers for events and campaigns
  • Collaborate with team members to improve volunteer engagement and retention strategies
  • Eventually, oversee area specific volunteer coordinators such as transport coordinators and foster coordinators
  • Help advance volunteer experience by working on upcoming projects such as updates to contracts/waivers, volunteer guide & orientation and so forth
  • Track volunteer impacts, looking for ways to improve processes, reporting to Volunteer Manager

Qualifications:

  • Strong organizational and communication skills
  • Comfortable working remotely and independently
  • Experience supporting volunteer programs or related administrative roles preferred
  • Proficiency with data management tools (Google Sheets, CRMs)
  • Passion for animal welfare and commitment to our rescue mission

TORONTO MERCHANDISE PICK-UP HUB

We're looking for help hosting a Toronto pick-up spot for merch orders from our shop! All of our merchandise is kept and packaged in Mississauga. In order to help people save on shipping, and also to promote more orders, we have pick up locations throughout the GTA where people can pick up from such as Burlington, Oakville, North York, etc. Map below with area we are looking for help within!

We're looking for someone to help us host a Toronto pick up spot without the red box on this map, ideally In the centre of it.

Toronto Merch Map

Reponsibilities include:

  • Picking up orders from Lakeview Animal Hospital or Clarkson area 2-4 times a month. Weekly is ideal especially around holidays, bi-weekly in some cases work, especially for slower months. Usually 1-5 orders a week, more in Nov-Dec.
  • Replying to an email connecting you with the customer to arrange their PU time. Depending on your situation, that could be a porch pick up or hand off.
  • Having a car and porch are ideal for the tasks mentioned above.

TRANSPORT VOLUNTEER

Transport volunteers play a huge part in the success of SOS and our ability to support dogs in need. Transporters have the important, and very flexible, role of escorting rescue dogs and their supplies from point A to point B. Having a vehicle (large or small, clean or covered in dog hair!) is super important and a necessary part of being a Transport Volunteer. Think this sounds like something you are interested in?

Time Commitment: Completely up to you! The awesome part of being a Transport Volunteer is you will receive requests for transport needs via email – if it works for you sign on up! If not, all good, maybe the next one will.

Role Overview: Work with the SOS team to safely transport rescue dogs from Pearson Airport, vetting appointments in Mississauga or foster home transfers throughout Toronto, Burlington, Hamilton, Guelph, Mississauga and many other Southern ON locations like King City, Kitchener/Waterloo, Owen Sound, Kawarthas… we're all over.

In this role you’ll be required to use your car/truck/van to transport dogs and/or supplies such as crates, to where they need to go! We want to make sure transporting goes as smoothly as possible (for the dogs AND you) so we’re definitely looking for someone that knows a thing or two about responsibility and clear communication. Our top priority is safety, so you’ll need to be able to secure dogs in your vehicle as you transport them (we will show you how!) This role can require contact (your choice dependent on comfort/task sign ups) with our sweet (and some times nervous) scruffs so you’ll need to be comfortable handing dogs. No surprise there! If you’ve got some extra time and energy and think this role is right for you, please sign up! Oh and you get to join a community of SOS Transport Volunteers! All new transporters will go through a 30 minute online training session where you can also ask any questions you have.

General Skills:

  • Communication, responsible and reliable
  • Car with climate control and a valid driver’s license
  • Bonus points if you have previous experience calmly meeting and support dogs

Bonus points if you have:

  • If you have a large vehicle! You're a rare commodity
  • Like late night or early morning transports... our airport visits are usually for night owls or early birds
  • Travel through Mississauga often (Cawthra exit). That is one of our main hubs for supplies as well as our vet office for all the scruffs
  • Are in North York often – supply pick up/drop offs are often at our North York storage containers
